Payment Voucher Template
- A payment voucher is used when your company pays suppliers for purchase orders needed for the production line or for services.
- The credit side of the transaction is usually the cash on hand account, bank account, or cash account.
- A payment voucher helps the company keep and monitor its expense records during the accounting period.
What Is a Payment Voucher Template?
A Payment Voucher Template is a commercial document that proves your company paid supplier X amount Y in exchange for receiving raw materials by cubic meter, quantities by unit, or weights by kilogram, or for a service that supports your business objectives.
What Are the Elements of a Payment Voucher Template?
A Payment Voucher Template consists of several elements:
- Voucher number: A sequential number that helps organize and arrange vouchers according to date and the supplier receiving the payment.
- Payment voucher date: An important detail that shows the date the amount was paid to the supplier. Based on this date, you can identify the accounting period to which the payment voucher belongs.
- Supplier company details: The voucher should include the supplier company's details, such as name, addresses, contact numbers, email address, and any other relevant information.
- Amount paid: The amount your company paid to the supplier in exchange for receiving a service or products.
- Payment method: The voucher includes the payment method used, whether cash or cheque.
- Signatures: Like any voucher, it should include signatures, such as the payment recipient's signature and the employer's or authorized representative's signature.

How to Use a Payment Voucher Template
A Payment Voucher Template is similar to a receipt voucher. It consists of two Excel sheets: one that contains all payment voucher data, and another that includes an editable voucher template whose details change with each new payment to a supplier. You can follow these steps:
1- Specify the payment voucher number
The payment voucher should have a sequential number that directly follows previously issued payment vouchers.
2- Set the payment voucher date
This is the date on which the amount is paid to the supplier.
3- Mention the supplier company and its representatives
The voucher should include the name of the supplier company responsible for providing the goods, raw materials, or services your company needs and for which the amounts are being paid.
4- Specify the amount paid and payment method
State the expense amount received by the supplier in return for its services, and indicate whether the payment was made in cash or by cheque, while recording the cheque number in the voucher if applicable.
5- Print the voucher or send it by email
To obtain the recipient's and payer's signatures, you can print the payment voucher. You can also email the voucher after signing it on your side, so the supplier can sign it electronically.
Why Is a Payment Voucher Template Important?
The importance of a payment voucher is due to several reasons, including:
- Documentation: A payment voucher provides paper and digital evidence you can refer to at any time to prove a financial transfer was completed successfully. It also helps maintain accurate records that support internal and external audits.
- Greater control over cash flow: Payment vouchers make it easier to monitor and control cash flow. They help identify who received their dues and when.
- A communication tool between departments: A payment voucher helps coordinate activities between different departments, such as purchasing, operations, and accounting.
Who Benefits from a Payment Voucher Template?
Two main parties benefit from issuing a payment voucher. The first is your company, which pays the dues for goods or products purchased from the supplier; the supplier cannot claim those dues again once payment is documented. The second party is the supplier or seller from whom the company received its orders and who received the required amount.
In the end, your company keeps the main copy of the payment voucher because it shows that the accounting department has processed the purchase order and that the supplier has received the required amount.
